Completing New Hire Paperwork

You will meet with a member of the Human Resources (HR) team within your first three days of employment to complete new hire paperwork. Your supervisor will inform you of when and where this meeting will take place. If you want to get a jump start on your paperwork, you can do so by clicking on the links in Section 1 of the New Hire Checklist.

These completed forms can be turned in at your scheduled meeting with HR. During that meeting, you will complete the I-9 form (this needs to be completed with an HR representative, not beforehand). Please bring your I-9 documentation to this meeting. If you do not complete the direct deposit form beforehand, please also bring your direct deposit information (Bank Name, Routing, and Accounting Number) with you to this meeting.

Benefits & When They Begin

Within your first three days of employment, your supervisor will inform you when and where you will meet with a member of the Human Resources team to go over your benefits package.

If you are eligible for insurance benefits, the benefit will begin on the first of the month, following your first day of employment. Or, on the first day of the month, if you start work on the first. 

General Questions

Where do I go on my first day?

Prior to your first day, your supervisor will advise you of where to park, as well as, where and when to meet on your first day. For the Crete campus, you will receive a parking tag on your first day. 

When do I get paid?

Employees are paid on the last working day of each month. If you begin on or after the 24th of the month, check with Human Resources to see if your first pay date will be that same month or the next month. 

Where can I find more on employee policies?

You can access the Employee Handbook online. If you are not able to find what you are looking for, or need further clarification, contact Human Resources.

What if I have more questions?

If you have other questions that you would like answered before your first day, please contact your supervisor directly, or contact Human Resources.

Dress Code & Uniforms

Dress Code

Our employees represent the face of the university to our students, alumni, and the community. Our dress attire should reflect a professional operated academic enterprise. Employees should dress in a clean, neat, and modest fashion. The exact parameters of this policy will vary by department and upon the function of the position you are in. Please visit with your supervisor about the dress appropriate for your department and position. 


The University pays annually the cost of uniforms for employees of the Facilities operations Department, up to an amount determined by the Vice President for Finance. Uniforms are not a condition of employment, but an appropriate symbol of professionalism and identification. Facilities Operations employees are expected to wear their uniforms when working and keep the uniforms clean and in good condition. Uniforms will be distributed on your first day of employment. For your first day, dress appropriate for your department and position.

Network Access, Doane Email, Technology & Equipment

You will be provided with the technical equipment required to perform your job. As a Doane employee, you will have a Doane email address and network access. Information on how to activate your email account along with your network username and password will be given to you on your first day of employment. 

Break Rooms and Tiger Bucks

If you would like to bring your meal or snack from home, there are break areas provided for employees, typically including a refrigerator, freezer, microwave, and table space. Ask your supervisor for details about the break room closest to you. 

If you work on the Crete campus, you can join in the student dining experience (during the academic year) visit the dining hall, or sign up for the Tiger Bucks Program. This program provides 10% off OBC Grill and Lakeside Coffeehouse and in the dining hall, allows you to buy nine meals at a discount, and receive your tenth meal for free. 

There are snack and beverage vending machines available in some areas; check with your supervisor for the nearest location. There are also dining options available in the communities of each of our campus locations if you would like to leave campus for your meal break.
