Policy - Limited interaction and specialized space

Doane policy regarding in-person interactions and the use of specialized campus spaces

Interacting with Others

While Doane will not be having formal face-to-face classes, limited employee in-person interactions with a student/employee are allowed. Such interaction has to be agreeable by both parties and cannot be required of either. For example, you cannot require a student to come see you. Similarly, a student cannot demand to see you. An alternative is to use Zoom or the phone.

Our goal is not to isolate, but to ensure social distancing. If neither party is showing symptoms, they may meet in person. The university is following guidelines set by the CDC, which indicates a 3 to 6-foot space around people when interacting in person. The CDC has also recommended any public gatherings with 10 or more people be cancelled or postponed in the United States for the next eight weeks, which we will abide by. Effective March 12, 2020, all large group gatherings (more than 10 people) at Doane have been suspended until further notice.

Specialized Campus Facilities

Given our campus will be open, potentially there are students who will want access to certain specialized facilities. Examples include a research lab, special computer lab, workout facility, music practice room, or art studio. This will be allowed but a plan needs to be approved ahead of time (see below). In general, the university is allowing use of these spaces to support our seniors and other students with limited options.

The approval process consists of:

  1. The department/program/office with the specialized space developing a written plan for that space. The plan should include:
    • Who will be in charge of this space? (e.g., coach, faculty)
    • How will the department/program/office limit the number of students in it (e.g., perhaps they have to sign up for a time slot),
    • How will the department/program/office enforce social distancing between people in that space,
    • List of needed cleaning supplies needed (e.g., wipes), if applicable.Process/steps for cleaning/sanitizing between users. Potentially all spaces will need some level of sanitizing/cleaning.How will the department/program/office will monitor the space to ensure these practices are being followed
  2. The plan for a space needs to be approved by the supervisor and then by the respective Dean, Vice President, or Athletic Director for that space.

Once approved, the respective Dean, Vice President, or Athletic Director will communicate with Jerri Van Horn, Manager of Events & Custodial Services, to ensure that appropriate signage is put in place for this space and confirm that sanitizing products are accessible.
